Invite team members

Invite a teammate, choose the right role, request Admin access, and understand the protected Workspace Owner workflow.

Bring the people who help you run the business into your Yesoma workspace. Each teammate gets their own login, their own inbox view, and a role that controls what they can do.

Invite

There are two paths to the same form:

  • Sidebar → Invite a team member (the violet card under Settings).
  • Settings → Team → Invite member.

Enter the teammate's full name, work email, and workspace role. Job title and work phone are optional. If you add a phone number, include the country code (for example, +1 202 555 0199). A profile phone number is directory information only; it does not grant Yesoma or the workspace permission to call, text, send WhatsApp messages, market to the teammate, or use the number for MFA.

A Workspace Owner can invite an Admin, Manager, Agent, or Viewer. An Admin can invite a Manager, Agent, or Viewer, but cannot invite another Admin or a Workspace Owner. Managers, Agents, and Viewers cannot invite teammates. Selecting Admin displays a high-trust warning before the invite is sent.

Yesoma emails a 14-day invitation link. After the recipient signs in with the exact invited email, they confirm or correct their name, job title, and optional phone before accepting. Their selected role becomes active only after acceptance.

Roles

ManagerRun the desk: assign work and approve replies. Cannot invite people, request elevation, or change another person's workspace authority.
AgentHandle inquiries day to day — reply, follow up, close cases.
ViewerRead-only access to inquiries and reports. Good for stakeholders who want visibility, not work.

Workspace Owners can invite or assign Admin, Manager, Agent, or Viewer for a non-owner teammate. Admins can invite or manage Manager, Agent, and Viewer, but cannot create or change another Admin or Workspace Owner. Managers cannot change roles. Self-promotion is never available.

Request Admin access as an Admin

An Admin cannot directly make another teammate an Admin. If another active Manager, Agent, or Viewer needs that authority, open the teammate menu in Settings → Team and choose Request Admin access. Add the business reason and choose who should review it:

  • Workspace Owner is the recommended route. Active Workspace Owners receive an email and push alert, see the request in the bell, and can approve or decline it from Dashboard → Admin access requests.
  • Yesoma Support is the fallback when a Workspace Owner is unavailable. A Yesoma Platform Admin reviews the request in the protected staff console. Yesoma creates a separate Workspace governance Case using the actual requester's name and email. The Case preserves the workspace, target teammate, current and requested roles, complete reason or comments, submission time, review deadline, request reference, and secure review path. It is never merged with a scorecard lead or ordinary customer conversation. Because it is an authorization record, the Case shows the protected review workflow instead of a customer reply composer.

The requesting Admin cannot choose themselves, an existing Admin, or a Workspace Owner. Submitting the request does not change access. The request expires after seven days, and the first authorized decision closes it. A Workspace Owner can still assign Admin directly without this request process.

If the support Case cannot be created, the original leadership request remains durable in the protected Platform Admin queue and the requester sees a clear delivery warning. Sending or opening the Case never changes the teammate's role; only the authorized decision workflow can do that.

Workspace Owner is never a direct role change. A current Workspace Owner chooses Request Workspace Owner access for an active teammate, then downloads the prefilled Workspace Owner Addition Authorization as either Editable Word (.docx) or Fillable PDF (.pdf). The PDF keeps workspace identity fields fixed while allowing the business, acknowledgements, and signature fields to be completed electronically. Complete and sign the chosen form, then upload it in the request dialog. Only Yesoma Platform Admin can approve the request. Approval adds a co-owner and leaves existing Workspace Owners unchanged; the signed document remains a private support record.

Case ownership and assignment

In team mode (Settings → Team → Team mode), every open inquiry shows an Owner row at the top of its preview and detail page.

Solo workspaces hide the assignment row entirely — there's no team to pass cases between. Switch to team mode from Settings → Team once you bring a second person on.

Pending invites

Anything not yet accepted shows under Pending invites on the /team page (and in Settings → Team) with the intended name, email, job title, and role. You can resend or cancel invitations within your authority. An Admin cannot manage an Admin invitation created by a Workspace Owner. Invites expire after 14 days; resending extends the expiry.

Plan limits

Inviting teammates is a paid feature. On a free plan, the invite form is replaced with an upgrade card pointing at billing. Active trials let you evaluate the team flow freely. See Billing and plan limits.

Removing a member

Settings → Team → Member row → Disable. Disabling preserves their history (so audit logs and past replies stay intact) but blocks their login. Re-enable any time.
