Brand emails and manage signatures

Set the company email identity, manage teammate signature overrides, and understand which signature customers receive.

Yesoma sends customer replies under your business identity once your plan includes branded delivery. Your logo, brand color, sender details, company signature, and approved teammate overrides are managed together under Settings → Brand & documents.

1. Set the company email identity

Workspace Owners and Admins manage the customer-facing brand fields:

  • Workspace display name — the friendly business name used in email headers.
  • Logo — upload a PNG, JPEG, WebP, or SVG up to 2 MB, or use a stable public image URL.
  • Brand color — the accent color used in the branded email shell.
  • Custom From email — the sender address after your domain is verified.
  • Reply-To email — where customer replies should arrive.
  • Email footer — business address, legal text, or links shown after the signature.

HTML in customer-facing fields is sanitized before delivery. Save the brand panel to apply changes to the next email; already-sent messages do not change.

2. Choose the company signature

Managers, Admins, and Workspace Owners can define the signature Yesoma uses for the whole company. Use plain text for a clean, reliable signature or sanitized HTML when links and richer formatting are required.

The live preview shows the customer-facing result before you save. These tokens can keep the signature useful across a team:

  • {name} — the teammate sending the email;
  • {role} — that teammate's workspace role;
  • {company} — the workspace display name;
  • {phone} — the teammate's saved work phone; and
  • {website} — the customer-facing website saved in Brand & documents.

3. Control teammate overrides

Workspace leadership can allow or disable personal signature overrides.

  • When overrides are enabled, each teammate can edit their own signature. Managers, Admins, and Workspace Owners can also choose a teammate and maintain that person's override.
  • When overrides are disabled, every teammate uses the company signature. Agents and Viewers can still see what will be sent, but cannot replace it.

This keeps a team consistent without preventing businesses that need individual titles, phone numbers, or specialist sign-offs from using them.

4. Understand the fallback order

For direct Email replies, Quick Send Email, and quote delivery, Yesoma resolves the signature in a predictable order:

  1. the sending teammate's override, when overrides are enabled;
  2. the company signature; and
  3. the existing organization email footer, when neither signature is configured.

The footer is still rendered below a signature when both are present. System messages such as password resets and daily briefings use Yesoma's system delivery identity and do not use a teammate signature.

5. Avoid duplicate sign-offs

Prepared replies normally omit a closing such as “Best, Sarah” because the resolved signature is appended at send time. If an older draft already has a common closing, Yesoma removes recognized duplicate sign-offs when a signature follows.

What customers see

A branded customer email contains:

  1. your verified sender identity;
  2. the reply or quote message inside your brand-colored shell;
  3. the resolved teammate or company signature; and
  4. the organization footer, when configured.

Signature saves are scoped to the current workspace and recorded as operational events for support and audit review. Changing a signature affects future eligible emails only.

Permissions

  • Workspace Owners and Admins manage the complete brand and document identity plus all signature settings.
  • Managers manage the company signature, override policy, and teammate overrides without receiving the other administrative branding controls.
  • Agents and Viewers manage only their own override when leadership permits it.

Plan gate

Branded email delivery is available on eligible paid plans. On a plan without branding, customer messages still send through Yesoma's standard delivery identity.
