Create and sign customer agreements

Create a governed template, prepare ordered customer and business signers, use Yesoma Native Sign, download signed evidence, and recover safely from PDF failures.

Agreements lets an authorized workspace create a governed template, freeze an exact customer document, collect Yesoma Native Sign signatures, and retain the issued, signed, and evidence PDFs. The production canary is currently available only in the Yesoma Phase One Canary workspace.

This guide includes a safe test template. It is for product acceptance only, not legal advice or a customer contract. Have qualified counsel review any wording before using an agreement commercially.

1. Open Agreements

Sign in to the enabled workspace and choose Agreements from the desktop Command Center, mobile More menu, or Search Yesoma.

If Agreements is not visible, the workspace may not be enabled or your current authority may not include Agreements. Do not use a direct URL to bypass a missing control.

2. Create a governed template

Choose New template and enter:

  • Template name: Master Services Agreement - Canary
  • Intended use: Controlled internal end-to-end acceptance testing of Yesoma Native Sign. Never use for a real customer or commercial transaction.
  • Retention class: commercial_7y
  • Country and region: leave blank for this internal canary unless you are deliberately testing a reviewed jurisdiction
  • Document title: Master Services Agreement - Canary Test
  • Section heading: General terms

Paste this into Terms:

CANARY TEST NOTICE

This document is for controlled internal testing only. It does not authorize real services, require payment, transfer rights, or create a commercial relationship. It must not be used with a real customer until qualified legal counsel reviews and approves it.

1. PARTIES AND EFFECTIVE DATE

This Master Services Agreement ("Agreement") is entered into on {{effective_date}} by and between {{business_legal_name}}, located at {{business_address}} ("Business"), and {{customer_legal_name}}, located at {{customer_address}} ("Customer").

2. SERVICES

The Business will provide the following services: {{service_description}}.

3. FEES AND PAYMENT

The Customer will pay {{fees}} under these payment terms: {{payment_terms}}.

4. TERM

The Agreement begins on the effective date and continues for {{initial_term}}, unless the parties end or replace it in writing.

5. RESPONSIBILITIES

Each party will provide the information, access, and cooperation reasonably needed for the agreed services. Each party remains responsible for its own personnel, systems, and legal obligations.

6. CONFIDENTIALITY AND OWNERSHIP

Each party will protect confidential information received from the other party and use it only for the agreed purpose. Ownership, licenses, and permitted use of work product must be stated in a reviewed written schedule before real work begins.

7. LIABILITY AND GOVERNING LAW

Any warranty, liability limit, indemnity, dispute process, and governing-law term must be reviewed for the intended transaction and jurisdiction. For this canary, the recorded governing-law value is: {{governing_law}}.

8. ENTIRE TEST RECORD

This document and its signed evidence form the complete canary test record for agreement reference {{agreement_reference}}. This test document ends when the Yesoma acceptance test is complete.

Paste these exact lines into Variables:

effective_date | Effective date | required
business_legal_name | Business legal name | required
business_address | Business address | required
customer_legal_name | Customer legal name | required
customer_address | Customer address | required
service_description | Service description | required
fees | Fees | required
payment_terms | Payment terms | required
initial_term | Initial term | required
governing_law | Governing law | required
agreement_reference | Agreement reference | required

Every name inside double braces in the document must have one identically spelled line in Variables. Do not rename a variable in only one place. For this template, keep every listed variable required.

Leave Protect this clause off for the basic solo-Owner canary. Turn it on only when you intend to test the independent-review workflow with another authorized teammate.

Choose Save working draft. Saving does not publish, issue, create signing access, or send email.

3. Review and publish

Open the saved working draft and review the document and variable list together.

  • A Workspace Owner can choose Review & publish for an ordinary unprotected draft.
  • A protected-clause change requires a different active teammate with Customer Read + Review authority. The draft author cannot approve their own protected change.
  • A published version is immutable. Later edits stay in the working draft until a new version is reviewed and published.

Confirm that Version History shows Current published before preparing an agreement.

4. Add the customer and choose signers

The Customer is an external person, not your workspace and not a teammate. If the person is missing, open Customers and choose New customer first.

During preparation:

  1. Choose the published template.
  2. Choose the external Customer.
  3. Complete every required agreement value.
  4. Keep the linked Customer as signer 1.
  5. Use Add customer signer only for another existing Customer with their own email and private Customer Hub.
  6. Use Add business signer for an active Workspace Owner or teammate with current Customer Send + Sign authority.
  7. Under Signing order, keep the default Any order when every signer should receive a request at issue and may sign independently. Choose In order only when each person must wait for the earlier required signer.
  8. Use the move controls to set the retained party and evidence order before saving. In In order mode, this is also the required signing sequence.

For a synthetic canary, example values are:

FieldExample value
Effective dateOctober 23, 2026
Business legal nameYesoma Phase One Canary
Business address123 Test Road
Customer legal nameMemescanr Test Customer
Customer address456 Canary Avenue
Service descriptionControlled acceptance testing of Yesoma Native Sign
FeesUSD 0 for this canary test
Payment termsNo payment is due
Initial termEnds when the acceptance test is complete
Governing lawNo governing law designated for this internal test
Agreement referenceMSA-CANARY-2026-001

Use synthetic details that you control. Never put a real customer or confidential commercial information into a canary agreement.

Choose Save agreement draft. This still sends nothing. Open Review & issue, verify the exact text, frozen parties, signing-order choice, and expiration, then issue only when everything is correct.

5. Choose how signing requests are sent

Yesoma creates and verifies the private issued PDF before making signing access available.

  • Any order is the default. After the issued PDF is ready, Yesoma creates a separate durable request for every customer and business signer and submits every signer email. Each person may sign independently; no customer or business signer has to wait for another.
  • In order is optional. Yesoma submits a request only for the active signer, then unlocks and notifies the next person after the earlier required action is complete.

The selected mode is frozen with the agreement and cannot be silently changed after issue. Agreements issued before the Any order option was introduced retain their original sequential behavior.

Customer signers use their own existing Customer Hub. Business countersigners use their own signed-in workspace profile. Each signer can choose Type my name or Draw my signature, but must still enter their full legal name and confirm electronic-signature intent.

When all required actions are complete, Yesoma prepares:

  • the Signed PDF, containing the signed agreement and visible signature certificate; and
  • the Evidence PDF, containing the execution record, methods, timestamps, and evidence hashes.

Yesoma then sends each frozen party a completion email with a private link. Agreement PDFs are not attached to those emails.

Check who signed and which email was sent

In Prepared agreements, choose View progress on an issued agreement. The panel lists every frozen signer in order and shows:

  • whether that person is awaiting a signature, waiting for an earlier turn, has viewed the agreement, or has signed;
  • the retained signing or viewing timestamp when available;
  • the exact frozen email address used for each signing-request and completion notification; and
  • whether each notification is waiting, queued, accepted for delivery, retryable, or needs manual review.

Accepted for delivery means the email provider accepted that individual message. It does not prove that the recipient's mailbox placed it in the inbox or that the recipient opened it. In Any order, every signer should have their own request row; a missing request is shown as retryable without resending requests already accepted. In In order, a later signer correctly shows Not sent - waiting for turn until every earlier required signer finishes. Completion emails remain unsent until every required signature and the signed files are ready.

6. Recover safely from a PDF failure

If the prepared row shows Issued - PDF failed, stop and inspect the cause before retrying.

  • A transient storage or repaired renderer problem may be eligible for one deliberate Retry PDF. Retry targets the same frozen agreement and does not create another agreement.
  • An unresolved variable is not repaired by retry. For example, if the frozen document contains an agreement-reference placeholder but no matching resolved value, every retry uses that same immutable snapshot and fails again.
  • Do not edit or overwrite the frozen agreement. Correct the working template, publish a new version, complete every displayed value, and prepare a new test agreement only after the template is verified.
  • A PDF failure occurs before signer email. Do not interpret an awaiting-signature count as proof that signing access or email exists when Retry PDF is still shown.

The current canary has an open defect where a template can reach publication with a document placeholder that is not closed by its variable definition. Until that repair is released, compare every placeholder against the Variables list manually before publishing.

Common questions

Can I type an arbitrary customer or business signer email? No. Customer signers come from Customer records so each person has their own private Hub identity. Business signers come from active workspace profiles with current Send + Sign authority.

Can a solo Workspace Owner publish? Yes, for an ordinary unprotected draft. Protected-clause changes still require an independent authorized reviewer.

Does issuing use Dropbox Sign or DocuSign? No. The current canary uses Yesoma Native Sign. External signing providers are optional future adapters and are not contacted by this workflow.

Is the issued PDF the completed signed document? No. The issued PDF is the immutable unsigned source. After all required signatures complete, download the separate Signed PDF and Evidence PDF.
