When to use Yesoma vs ChatGPT + Gmail

When a DIY writing-and-email workflow may be enough, and when ownership, saved knowledge, follow-ups, and team review become useful.

A fair question before you pay for anything: why not use a general AI tool to write replies and Gmail to send them? For some people, that combination is enough. This guide explains the operating differences without claiming that one workflow guarantees more bookings.

When ChatGPT + Gmail is enough

If you get only a handful of inquiries a week, they all come through one email address, you are a team of one, and you are happy copy-pasting between two tabs, the DIY combo can absolutely work. There is no shame in starting there. Yesoma is for when that starts to break.

Where the DIY combo breaks down

  • Messages arrive in different places. Yesoma can capture supported email and website inquiries. WhatsApp click-to-reply opens a prepared draft; connected WhatsApp is available only through an approved and activated limited pilot. SMS and social messaging are not generally available.
  • General AI does not automatically use your approved business knowledge. Yesoma can retrieve saved Business Brain entries, show the evidence used, and flag uncertainty. A person still reviews the draft.
  • Follow-up needs an owner. Yesoma can schedule and surface follow-up work. Review each rule and message before relying on automated behavior.
  • No shared inbox for a team. The moment a second person helps, Gmail + ChatGPT has no concept of "who's handling this," assignments, or reviewing a reply before it sends.
  • No structure for money. ChatGPT can draft a quote as text, but it can't turn it into an itemized quote with your deposit and payment instructions, track acceptance, or mark it paid.
  • You're the glue. Copy, paste, switch tabs, remember context, remember to follow up. That manual work is exactly what slips on a busy day, and slips are lost bookings.

The honest summary

A general AI tool plus email may be enough for a solo operator with a small queue. Yesoma becomes useful when you need shared Case ownership, approved knowledge, answer evidence, follow-up visibility, quotes, and team review. Evaluate it against your actual workload; Yesoma does not promise a particular revenue result.
